Terminal Solutions are relevant to Terminal operators, FPSO Operators, Refinery Operators, Storage Companies, etc.
Available Services
Terminal Solutions provide a number of services enabling Terminals and related entities to manage key documentation electronically.
Services available to Terminals are:
CargoDocs™ for Tankers Solution Overview
CargoDocs for Tankers provides a simple, web-based solution for users to replace paper documentation relating to shipping cargos on Tankers with original electronic documents. Specifically, the service enables the electronic creation, signing, issuing and filing of bills of lading and peripheral documents.
Features
The CargoDocs module allows Terminals or Refineries to:
- Input data directly from your legacy systems (see section on API below) or enter data directly into CargoDocs
- Create a full set of documents required for tanker shipment – ESS recreates your Bill of Lading template, and provides you with a standardized version of your peripheral documents such as: Cargo Manifest, Timesheet, Certificate of Origin, Certificate of Quality, Certificate of Quantity, combined documents such as CQQ or CQQOCM, etc.
- Upload and electronically sign draft documents (this tends to be used by surveyors and laboratories, but can be used by Terminals)
- Output drafts as eDocs or paper originals
- Sign draft documents electronically
- Issue documents electronically
- 12 year secure online access and storage for all eDocs
Benefits
CargoDocs provides many significant benefits including:
- Labour and Time Savings – these include the savings associated with reduced data re-entry, eliminated physical movements, printing, copying and couriering of documents
- Improved working capital / reduced financial costs – these include reduced demurrage costs arising from faster document turnaround, improved berth and tank utilization, etc.
- Other benefits – these include the likes of improved compliance, reduced employee boredom and improved visibility
- Can be used as an integrated solution with CargoDocs for Barges, eAD, eSDS, JetDocs or as a standalone solution.
Legal
CargoDocs users are required to sign the ESS-Databridge Services & Users Agreement (DSUA) prior to using live eDocs for the first time. The DSUA is a multi-partite agreement which binds all CargoDocs users to each other and to ESS.

API-Interface
System integration is optional for customers who will to enjoy the benefits of straight through processing of all key trade data with documentation, operations, scheduling, accounting and trading systems. ESS can manage B2B messages in a variety of common formats (EDI X12, XML, CSV) and protocols (AS2, HTTPS, FTP). All messaging transaction details are stored for archiving purposes.

CargoDocs™ for Barges Solution Overview
CargoDocs for Barges provides a simple, web-based solution for users to replace paper documentation relating to the nomination and shipment of cargos on barges within the ARA region with original electronic documents. Specifically, the service enables the electronic creation, sending and management of cargo nominations, load or discharge port advices, sailing advices, as well as bills of lading or tickets and peripheral documents.
Features
The CargoDocs module allows Terminals or Refineries to:
- Receive Load or Discharge port nominations
- Create and automatically distribute Sailing Advices
- Input finalized loading data directly from your legacy systems (see section on API below), enter data directly into CargoDocs™ or email data directly into CargoDocs™
- Post loading, create a full set of documents required for barge cargos – ESS recreates your Bill of Lading or Ticket template, if required
- Upload and electronically sign draft documents
- Ability to output draft electronic or paper documents
- 12 year secure online storage for all eDocs
- Can be used as an integrated solution with CargoDocs™ for Tankers, eAD, eSDS, JetDocs™ or as a standalone solution

eSDS Solution Overview
eSDS provides a simple, web-based solution for users to replace paper processes relating to the distribution and tracking of safety data sheets (SDSs) required under REACH, GHS, OSHA and other similar legislation. This module can be used as a standalone Service or as part of an integrated package of eDocs Services.
Features
The eSDS module allows users to:
- Send electronic Safety Data Sheets (eSDS)
- Access a large, multi-lingual Shared Library of GHS/REACH compliant SDSs, managed and maintained by third party technical experts
- Send, and where necessary, resend eSDSs to one or more recipients in the required languages
- Automated tracking of receipt and/or opening of the eSDS along with a full audit log
- Add an eSDS into a set of standard shipping documents
- Store incoming SDSs received from suppliers electronically, and make them available online to all required employees
- Ability to manage all your own and received eSDSs for internal Health & Safety requirements
- Ability to standardize Safety Data Sheet compliance globally
- 12 year secure online access and storage for all eDocs

Legal
eSDS users are required to sign a standard Access Agreement and the eSDS Order Form. The Access Agreement is used for all non-CargoDocs Services, and provides the terms on which ESS provides such eDocs services, including the Service Level Agreement (SLA).
Trades in Use
eSDS is currently used by a number of companies to meet their global compliance needs, including throughout the EEA, Switzerland, the USA, Singapore, etc. eSDS is used in crude and refined product trades.

eAD Solution Overview
eAD provides a simple, web-based solution for high-volume users to create, send and track electronic Administrative Documents and/or Reports of Receipt required under the Excise Movement and Control System (EMCS). eAD is a custom-built interface for EMCS. This module can be used as a standalone Service or as part of an integrated package of eDocs Services.
Features
The eAD module allows users to:
- Submit eADs for outgoing cargos as required under EMCS
- Receive eADs and submit Reports of Receipt (RoR) for incoming cargos
- All functionality available as per EMCS FS1
- 12 year secure online access and storage for all eDocs
- Can be used as an integrated solution with CargoDocs or as a standalone solution
Benefits
eAD for Terminals or Refineries provides many significant benefits including:
- Compliance with EMCS
- Significant time saving features over Government Gateways
- Email notifications ensure users are advised when eADs or RoRs are accepted or rejected by the local EMCS solution
- Integration with other ESS solutions reduces the number of tools users must log into to undertake their daily work
- Option to integrate with trade and operations systems providing straight-through-processing
Legal

JetDocs Solution Overview
JetDocs provides a simple, web-based service allowing Terminals, Refineries, etc., in the aviation turbine fuel, Jet A-1, trade quickly and easily to comply with the 18 May 2011 requirements of Def Stan 91-91 issue 7 relating to the content and traceability of batch origin and quality.
Features
The JetDocs module allows users to:
- Maintain a traceability log linking all RCQs, COAs and other required documents from point of origin to end receiver
- Managed, secure distribution of JetDocs through the trade chain
- Validation of documents is undertaken electronically by authorized signatories within a refinery/facility or by an authorized signatory from an independent surveyor
- Split, merge and otherwise handle eDocs as batches
- Automated tracking of receipt and/or sending of Jet certificate sets per bundle and full audit log
- 12 year secure online access and storage for all eDocs
- Can be used as an integrated solution with CargoDocs or as a standalone solution
Benefits
JetDocs provides many significant benefits including:
- Easy compliance with Def Stan 91-91 i7 traceability requirements, resulting in a reduced risk that Jet cargos are deemed not to comply with 91-91 i7 and therefore cannot be traded as A-1 Jet Fuel
- Significantly reduced certification management
- Can be used globally
- Works alongside your current processes and IT systems with no required changes
